Terms & Conditions

for Vendor at Business Expo Jacksonville 2025

These Terms and Conditions ("Agreement") set forth the terms and conditions governing the participation of vendors ("Vendor") at the Business Expo Jacksonville 2025 ("Event"), scheduled to take place on Saturday, July 12, 2025, at the Aloft Jacksonville Hotel Tapestry Park. The event is scheduled from 11:00 AM to 6:00 PM. By participating as a Vendor at the Event, you agree to be bound by this Agreement.

Vendor Responsibilities:
• The vendor is responsible for providing all necessary equipment, materials, and personnel for the operation of their booth.


• Food Vendors will need to prepare food in advance and will be able to keep food warm in chafing dishes that they bring with them. Vendors will not have access to the hotel's kitchen or cooking supplies/utensils.
 

•  Vendor shall ensure that their booth and products/services comply with all applicable laws, regulations, and safety standards, including those governing the State of Florida.  


• Vendor shall maintain a professional and customer-friendly environment at their booth throughout the duration of the Event.
 

Product Restrictions:

• All items must align with the event’s theme and objectives. Offensive materials or products are not allowed.

Booth Setup and Display:
• Vendor shall set up their booth in the designated area provided by the Event producers, Coastal Today Magazine.

 

• Vendor shall ensure that their booth and display are safe, secure, and free from any hazards.  

Insurance and Liability:
• Vendor is responsible for obtaining and maintaining appropriate insurance coverage for their products, equipment, and personnel.  


• Vendor agrees to indemnify and hold harmless the Event producers, Coastal Today Media, LLC, and the Event venue from any claims, damages, losses, or liabilities arising from Vendor's participation at the Event.  

Sales and Transactions:
• Vendor shall conduct all sales and transactions directly with Event attendees.  

 

• Vendor shall comply with all applicable tax laws and regulations regarding the collection and reporting of sales tax in the State of Florida.

Cancellation and Refunds:
• All sales of booth spaces are considered final, and no refunds will be issued for vending fees.  

 

• The Event producers reserve the right to cancel or reschedule the Event due to unforeseen circumstances, including but not limited to inclement weather or venue issues. In such cases, booth fees shall be refunded to the Vendor.

Termination:
• The Event producers reserve the right to terminate the Vendor's participation at the Event if the Vendor fails to comply with the terms and conditions outlined in this Agreement.  

 

• Termination of participation may result in forfeiture of the booth fee and exclusion from future events organized by the Event producers.

Miscellaneous:
• This Agreement constitutes the entire understanding between the parties and supersedes all prior agreements, whether written or oral.  


• Any amendments or modifications to this Agreement must be made in writing and signed by both parties.  
 

• This Agreement shall be governed by and construed in accordance with the laws of the State of Florida.

By participating as a Vendor at the Business Expo Jacksonville 2025, you acknowledge that you have read, understood, and agreed to abide by the above Terms and Conditions.
